We’re seeking a proactive and highly organised Site Administration Assistant to support the day-to-day operations of our Braemar Power Station. This is a true site-based admin role where you’ll be the backbone of the site - managing administration, procurement support, compliance, and coordination activities that keep the site running smoothly. What you'll do

  • Manage site office operations including correspondence, phones, emails, consumables, and general administrative support for the site team
  • Coordinate logistics for personnel such as travel, accommodation, flights, training, uniforms, and site inductions for employees and contractors
  • Provide financial and procurement support by raising purchase orders, receipting goods, processing and reconciling invoices, tracking inventory (including PPE), and following up with suppliers
  • Support compliance, safety, and environmental requirements by maintaining records, assisting with safety audits, managing ChemAlert and SDS registers, and preparing environmental documentation and regulatory reports
  • Oversee stock and site logistics including monitoring inventory levels, managing site supplies, tracking budgets against POs, identifying variances, and completing a weekly town run for mail, supplies, and parts

Your experience

  • Proven experience in a site-based administration role, ideally within a small to medium-sized business, industrial, construction, utilities, or similar environment
  • Strong administrative and coordination skills with experience supporting procurement, invoicing, purchase orders, and supplier follow-up
  • Confidence managing compliance-related documentation such as inductions, safety records, chemical registers, and environmental or regulatory reporting
  • High level of computer literacy, particularly across Microsoft Office, with the ability to manage records, reports, and multiple systems accurately
  • A practical, organised, and collaborative working style, with strong communication skills and the ability to work autonomously as the sole site administrator
