The Future Workforce, Learning & Development team manage Learning & Development programs across our national organisation to build capability for now – and the future.  We are looking for a highly organised, proactive individual who loves creating structure, improving processes and using systems to make work easier.  Reporting to the Head of Learning & Development, you’ll be the central coordination point for a fast-paced team—keeping schedules, communications, vendors and program logistics running smoothly so we can deliver high-quality learning outcomes to a diverse workforce.

What you’ll do

  • Act as the central coordination point for the team, keeping schedules, priorities and logistics moving forward to ensure learning programs are delivered efficiently across our national operations
  • Manage procurement activities and vendor partnerships, working closely with internal and external stakeholders to ensure effective, compliant and timely delivery of learning solutions
  • Maintain clear trackers (actions, schedules, attendance and status updates) so the team can prioritise work and deliver programs with confidence
  • Set up and run team routines (planning, meetings, actions and reporting) and continually improve the way the team organises work
  • Support continuous improvement by streamlining learning processes, templates and tools to make delivery simpler and more consistent.
  • Maintain accurate records and reporting by coordinating the recording of Learning & Development activities in our Learning Management System
  • Manage the Learning & Development inbox, triaging requests and ensuring timely follow-up

Your experience

  • Previous experience in an Executive Assistant, Senior Coordinator or Team Assistant role supporting leaders or specialist teams in a busy environment, with a strong focus on organisation, follow-through and service
  • Demonstrated experience coordinating purchasing activities, including raising requests, tracking approvals and processing invoices
  • Confident using technology to streamline work (e.g. Microsoft 365, SharePoint, Teams, Excel trackers, document repositories, registers) and keep information accurate and up to date
  • Strong administration capability with advanced Microsoft Office skills (particularly Excel and PowerPoint) and confidence learning new systems
  • Highly developed communication and stakeholder engagement skills
  • A proactive, organised and solutions-focused approach, with the ability to work autonomously and collaboratively in a busy environment
